We are recruiting a permanent Evening Facilities Administrator, to join our Centralised admin team based in Bristol. The role is part-time, 30 hours a week, working Monday to Friday 16:15 - 22:15.

This role of Facilities and Estates Administrator is to support the Division with the delivery of a smooth and comprehensive centralised administration service. You will work across 4 key areas:

  • Rostering
  • Absence
  • Ordering
  • General Administration

Main duties of the job

Duties of the role include but are not limited to:

  • To notify line managers of non-arrivals to ensure welfare checks are given to staff members
  • Using requirements submitted by departments, creating overtime & bank allocations, ensuring staff are allocated fairly and are compliant with trust policies & working time directive
  • Staff the absence line, taking calls from staff members, obtaining information such as planned return to work date, fit note queries etc.
  • Support managers by preparing Performance Management templates and meetings
  • Support with general IT queries from staff, such as ID Badge access, ESR & Kallidus Access

Person specification

Qualifications

Essential criteria

  • Good Standard of education at GCSE Level (Grade C/4 or above including English or equivalent)
  • IT qualification or equivalent digital experience

Desirable criteria

  • Business Administration or Customer Services Level 3 qualification or equivalent

Skills

Essential criteria

  • Standard keyboard skills and a moderate level of typing speed
  • Ability to build and maintain effective working relationships with both internal and external stakeholders
  • A flexible approach with the ability to cope with changing demands

Knowledge

Essential criteria

  • Experience of accurately reporting information to managers and stakeholders
  • Experience of effectively responding to queries from a range of audience (
  • Digital experience in supporting users in the use of technology

Desirable criteria

  • Experience of providing a service to internal and external customers
  • Significant experience of working in an administrative capacity
